Officers responsibilities: A quick overview
- President
- Provide the overall leadership and guidance the club needs to meet its standards and achieve its Distinguished Club goals (club success plan)
- Ensure a positive, supportive environment members need to fulfill their self-development goals
- Ensure that members participate in and benefit from the Toastmasters Educational Program (in cooperation with the VP-Education) and are actively working towards their CTMs, ATMs, etc
- Discuss the Distinguished Club Program and the club’s progress toward the 10 goals
- Ensure that the club actively recruits new members
- Schedule and chair monthly Executive Committee meetings/Ensure that club officers meet club officer and club meeting standards
- Ensure that officers attend officer training twice a year
- VP-Education
- Plan club meetings, completing schedules a few weeks in advance and confirming each schedule in advance of each meeting
- Promote participation in the educational program, encouraging members to pursue their CTMS, ATMs, CLs, etc
- Ensure that members are recognized for their achievements
- Assess progress toward the 10 Distinguished Club goals/Monitor club progress in cooperation with the club president
- Ensure that modules from the Successful Club Series, Leadership Excellence Series, etc., are done periodically
- Organize and run club contests in cooperation with the club president
- Orient new members to the Toastmaster program
- Preside over meetings in the absence of the president
- Ensure that officers attend officer training twice a year
- VP-Membership
- Greet guests, briefly explain the Toastmasters Program, and get their contact information/Keep guest book
- Follow up on guests/potential new members
- Assist with filling out new member applications, then give the application and dues to the Treasurer (make a copy of the application for updating your membership roster)
- Maintain and update the membership list so that it is accurate and current
- Conduct ongoing membership building in cooperation with the VP-PR
- Attend officer training twice a year
- VP-Public Relations
- Promote the club to local media
- Publicize upcoming events and programs
- Promote membership building in cooperation with the VP-Membership
- Be involved with club newsletter and/or Web site
- Attend officer training twice a year
- Treasurer
- Manage the club’s finances/Keep records of all financial transactions
- Announce when dues are due/Collect and send dues to World Headquarters by Oct 1 and April 1
- Send new member applications to World Headquarters within 48 hours
- Work with the VP-Membership to contact members who have not paid dues
- Present verbal and written financial statements quarterly
- Attend officer training twice a year
- Secretary
- Keep a file with the Club Charter, Constitution, By-laws, minutes, and any other important club documents
- Handle general club correspondence
- Prepare minutes of Executive Committee meetings
- Take attendance (this is not absolutely necessary)
- Mail club officer list to World Headquarters within 10 days after an election (however, the president usually does this)
- Attend officer training twice a year
- Sergeant-at-Arms
- Help set up the meeting room and make sure the lectern, flag, and banner is in place
- Keep the club banner, awards, and timing equipment
- Arrange for food service at meal meetings
- Help ensure the meeting starts on time

- Serves in an advisory role to the club and its executive committee
